Accessing COVID-19 Vaccination Data

HRM Advisory Notice

OntarioMD (OMD) is committed to supporting physicians during COVID-19. OMD is working with the Ontario Ministry of Health (MOH) and Ontario Health (OH) to deliver more vaccination information to clinicians to close the COVID-19 vaccination data gap.

OMD will provide the latest updates here so please visit this page regularly or sign up for email updates at the bottom of our home page. 

  • Backdated COVID-19 vaccination reports - OMD conducted a poll asking family physicians if they wished to receive backdated COVID-19 vaccination reports from COVaxON to their EMRs via HRM. The majority (60%) said they did not want the backdated reports. OMD respects this decision by family physicians. You will not receive backdated reports in your EMR, but there are other ways to get the missing data. If you practice in a Patient Enrollment Model (PEM), you can download COVaxON Aggregate Primary Care Vaccination Reports from the Ontario Health Portal. If you use ConnectingOntario or ClinicalConnect, you can also access the missing, older vaccination data in those clinical viewers. OMD can also help you access the data from the backdated reports.

  • On November 3, COVaxON enabled backdated vaccinations to flow through HRM. Primary care clinicians will receive these reports in their OMD-certified EMRs from now on just like other COVID-19 vaccination reports.

  • In mid-November, changes to dose information were made to COVID-19 vaccination reports through HRM:

    • Instead of the bilingual Dose/Dose: 1 of 2, Dose/Dose: 2 of 2, Dose/Dose: 3 of 2), the reports will only contain the dose number (e.g., Dose/Dose: 1, Dose/Dose: 2 or Dose/Dose: 3).

  • COVID-19 vaccination reports for pediatric patients - HRM is now delivering COVID-19 vaccination reports for the new pediatric vaccine.

    • Reports for pediatric patients will contain the same information as other COVID-19 vaccination reports.

      • The SF ID (Sending Facility ID) is still P100.

      • The report category is Class 'Medical Records Report' with the sub-class '96874-3-COVID19 Immunization note'.

  • Please consult the Frequently Asked Questions for more details about HRM and COVID-19 vaccination report delivery.

  • To help you manage the extra historical reports, OMD has developed videos and instructions for the most widely used EMRs (Accuro®, TELUS, WELL/OSCAR,) to demonstrate what to do. If you use a different EMR, contact OMD for help.

  • Still don't have HRM and want to receive COVID-19 vaccination reports from COVaxON into your EMR? If you are a clinician and you use a certified EMR, contact OMD at support@ontariomd.com and ask for your EMR to be connected to HRM.

  • As of July 22, receiving reports where patient/provider relationship is confirmed in the Ministry of Health's CAPE (Client Agency Patient Enrolment) database (for the 75% of PEM physicians who have HRM)
  • HRM began delivering historical reports, i.e. reports from before May 18, starting September 24 over approximately 45 consecutive nights. Delivery of historical reports was completed on November 7, 2021).

Note: Physicians who do not practice in a PEM model and all pediatricians will not receive a COVaxON Aggregate Primary Care Vaccination Report. MOH and OH are working with OMD and other partners and decision-makers to try to find solutions.
