HRM®-COVaxON Reports and Other Sources of COVID-19 Vaccination Data

OntarioMD (OMD) is committed to supporting physicians during COVID-19. As more Ontarians get vaccinated to protect against COVID-19, physicians/clinicians need to know which of their patients have been vaccinated. OMD is working with the Ontario Ministry of Health (MOH) and Ontario Health (OH) to deliver more vaccination information to physicians/clinicians and close the gap in COVID-19 vaccination data.

HRM® Delivery of COVID-19 Vaccination Reports from COVaxON to EMRs

  • As of May 18, 2021, OMD's Health Report Manager (HRM®) digital health tool began delivering COVID-19 vaccination reports through OH from the provincial COVaxON vaccination management system to physicians/clinicians who use HRM with their certified electronic medical records (EMRs).
  • HRM doesn't send all COVID-19 vaccination reports from COVaxON to your EMR. It doesn't send reports before May 18, reports for patients who didn't name their primary care physician/clinician or reports for patients who didn't provide their consent to have their vaccination information entered into COVaxON.
  • There have been some glitches with HRM-COVaxON report delivery. Most have been resolved. The most common glitch currently is the possibility of receiving duplicate reports. Your EMR should reconcile reports and file only one report to the patient's record. Please contact support@ontariomd.com if you have any questions.
  • As of July 22, OH will enhance the COVID-19 vaccination reports by matching patients to providers using MOH enrollment data in the CAPE (Client Agency Program Enrolment) database. This will enable physicians/clinicians in a Patient Enrollment Model (PEM) (i.e., FHGs, FHNs, FHOs, FHTs, CCMs) to receive additional COVID-19 vaccination reports via HRM in addition to those who have been identified as primary provider in COVaxON. These reports will be in addition to the ones already being received in HRM. Please consult the Frequently Asked Questions for more details. 
  • OMD will provide the latest updates on this page so please visit this page regularly or sign up for email updates at the bottom of our home page.

  • Still don't have HRM and want to receive COVID-19 vaccination reports from COVaxON into your EMR? If you are a clinician and you use a certified EMR, contact OntarioMD at support@ontariomd.com and ask for your EMR to be connected to HRM.

Physicians who do not practice in a PEM model and all pediatricians will not receive a COVaxON Aggregate Primary Care Vaccination Report. MOH and OH are working with OMD and other partners and decision-makers to try to find solutions.

EMR-eReport Toolkits and Upcoming Webinars on How to Use Them

OMD worked with OH on three EMR-eReport Patient Vaccination Reconciliation Toolkits to help physicians/clinicians use the COVaxON Aggregate Primary Care Vaccination Report. The toolkits are for the most commonly used EMRs and were developed in collaboration with Ontario Health to support you in accessing and using your Report.

Please note: A ONE® ID is required to access the COVaxON Aggregate Primary Care Vaccination Report. 

OH, with support from the Association of Family Health Teams of Ontario (AFHTO), Ontario College of Family Physicians (OCFP), the Ontario Medical Association (OMA), the Section on General & Family Practice (SGFP), and OMD, will offer three webinars between July 21 and 29 to go over each of the toolkits for the primary care sector working in PEM models and other interested physicians/clinicians. Details will be communicated to physicians. Recordings will be published on this page.
