ONE® Mail Transition to eHealth Ontario - Update

Thank you to ONE Mail users who have consented to transfer their personal information to eHealth Ontario. OntarioMD has sent your information to eHealth Ontario and they will contact you about the next steps in the transition of your ONE Mail account. If you have questions about changing your e-mail address, adding a new user, linking two different ONE Mail accounts, or any other questions about ONE Mail, please send them to eHealth Ontario at onemailinfo@ehealthontario.on.ca.


What is ONE Mail?

If you registered for a @ontariomd.ca email address through OntarioMD, you are using ONE Mail. ONE Mail is an encrypted email service that lets health care providers share patient information quickly, confidently and securely with other health care providers who use ONE Mail.

What's happening to my @ontariomd.ca ONE Mail account?

OntarioMD is no longer issuing user @ontariomd.ca ONE Mail email accounts. Your current ONE Mail account is being transitioned to a new ONE Mail address to give you more functionality, a bigger mailbox size and mobility.

If you have an active @ontariomd.ca ONE Mail email address, you need to provide consent by March 31, 2015. eHealth Ontario will then contact you and once the transition activities have been completed, you will have a new @one-mail.on.ca email address. You will no longer be able to access your emails through OntarioMD's website or Microsoft Outlook using the ontariomd.ca domain.

You will be able to use your new @one-mail.on.ca email address by accessing it through Microsoft Outlook or ONE Mail's Outlook Web App. Your @ontariomd.ca emails will be attached to your new ONE Mail account.

Why is this transition occurring?

OntarioMD and eHealth Ontario have been planning the transition for approximately one year. In 2005, eHealth Ontario asked OntarioMD to assist with the deployment of its ONE Mail service to increase their user base. It was meant to be a temporary solution and the @ontariomd.ca email address was created to leverage the service. OntarioMD registered and supported nearly 5,000 physicians and their staff for the service.

With the upgrade of the ONE Mail platform by eHealth Ontario to support more functionality, OntarioMD and eHealth Ontario made the mutual decision to transition @ontariomd.ca users to the upgraded platform.

What can I do if I never activated my account or I lost or forgot my password?

To obtain your username or reset your password click on "Forgot your Username or Password" below the Sign In box in the left hand column.

You must also have a Secure Services password to log in to ONE Mail. To reset your Secure Services password, log in to the OntarioMD Portal, click on Account management -> Manage Secure Services -> Change Secure Services password -> Forgot Secure Service password.

To activate your account you must log in to the OntarioMD portal and click on the ONE Mail launch button. If you do not have a Secure Services password, you must create one prior to activating ONE Mail.

How to transition to your new @one-mail.on.ca ONE Mail account:

  1. Watch for an email from OntarioMD to your @ontariomd.ca mailbox.

  1. Please provide consent for OntarioMD to share the personal information it has about you with eHealth Ontario. OntarioMD has the following information on file for users:
    • Legal first name
    • Legal surname
    • Gender
    • Date of birth
    • @ontariomd.ca email address
    • Telephone number
    • CPSO number

  1. Reply to the email from OntarioMD to provide consent. Physicians must consent to transition their own ONE Mail emails as well as those of their staff.

    eHealth Ontario Collection Notice:
     By replying to the email, you are consenting to allow eHealth Ontario to indirectly collect personal information about you, including your name, gender, date of birth, telephone number, OntarioMD ONE Mail user ID, OntarioMD ONE Mail e-mail address and College membership number to enable eHealth Ontario to invite you to obtain a ONE ID credential, or to link your identity to your existing ONE ID credential, and to invite you to enroll in the eHealth Ontario ONE Mail Direct Service, which will link your existing OntarioMD ONE Mail Account with your new eHealth Ontario ONE Mail Direct Account. After you have entered into an agreement with eHealth Ontario for the ONE Mail Direct Service, eHealth Ontario may use this information to provide you with a ONE ID credential or link to your existing ONE ID Credential and enroll you into the eHealth Ontario ONE Mail Direct Service. Additionally, eHealth Ontario may use this information to communicate with you about the ONE ID credential and ONE Mail Direct Service, Any additional uses or disclosures will be set out in the ONE Mail Direct agreement between you, or your sponsorship organization, and eHealth Ontario.

    The collection, use, and disclosure of personal information for these purposes is authorized by s. 16, Ontario Regulation 43/02 made under the Development Corporations Act, R.S.O. 1990, c. D.10.

  1. eHealth Ontario will contact you about next steps, which may include registering for ONE ID. If you already have a ONE ID account, you will be able to use your existing ONE ID login identification and password to access your new ONE Mail email account.

  1. Emails to your former @ontariomd.ca account will be redirected to your new @one-mail.on.ca email account for a limited period of time so you can notify your contacts about your new ONE Mail email address. You will not however, be able to reply or forward email from the @ontariomd.ca address.

  1. Please change your business cards, website, marketing materials and anything else that shows your @ontariomd.ca email address to your new @one-mail.on.ca email address.
